Webmail Business Email Problems & How WebsNP Fixes Them

cPanel Webmail (Roundcube, Horde, or SquirrelMail) comes bundled with nearly every shared hosting account in Nepal. It is the most common business email setup for small businesses and startups. Yet it is also the most frequently broken. This guide covers every major webmail business email problem and how to resolve them.

🛡️ Professionally Configured Email Hosting

WebsNP sets up your SPF, DKIM, and DMARC records correctly from day one. No more emails going to spam or getting blacklisted.

The Biggest Webmail Problems

1. Your Emails Land in Spam

This is the #1 problem with cheap shared hosting webmail. The reason is almost always shared IP reputation. When you are on a shared server, dozens of other websites share the same outgoing mail IP. If one of them sends spam, your IP gets blacklisted—and your legitimate business emails get flagged.

Fix: Check your IP reputation at mxtoolbox.com/blacklists.aspx. If blacklisted, contact your host immediately. Better yet, use a dedicated IP for email.

2. Emails Bouncing with "Relay Access Denied"

This error means your mail server is refusing to send emails on your behalf. Common causes:

  • SMTP authentication not enabled in your email client
  • Wrong outgoing server port (use 587 with STARTTLS, not port 25)
  • Hosting account suspended or over quota

3. Cannot Access Webmail Interface

If yourdomain.com/webmail returns a 500 error or blank page, it could be:

  • cPanel service crash — your host needs to restart the mail service
  • SSL certificate expired on the mail subdomain
  • Wrong URL — try mail.yourdomain.com instead

4. Large Attachments Fail to Send

Most cPanel configurations limit email attachments to 25 MB. Sending large design files, videos, or reports via webmail will silently fail or return a size error. Use a file-sharing link (Google Drive, Dropbox) for large files instead.

5. Webmail Looks Outdated and Is Difficult to Use

Roundcube and Horde are functional but look dated compared to Gmail or Outlook. For a team that uses email all day, the productivity impact of a poor interface is real.
