- Export a backup of all existing emails (MBOX or EML format)
- Note all email accounts, aliases, and distribution lists
- Document all email filters and forwarding rules
- Schedule migration during off-peak hours (weekend or late night)
- Inform your team about the migration window
Step 1: Set Up Google Workspace
Sign up at workspace.google.com. Choose your plan (Business Starter at $6/user is sufficient for most Nepal SMEs). Add your domain and verify ownership by adding a TXT record to your DNS.
Step 2: Create User Accounts
In Google Admin Console, create all user accounts before you switch MX records. This ensures no email is lost during the transition.
Step 3: Migrate Existing Email Data
Use Google Workspace Migration for Microsoft Exchange (GWMME) or the built-in Data Migration service in Admin Console. For IMAP-based migration from Zoho or cPanel:
- Go to Admin Console → Data migration → Email
- Select IMAP as the migration source
- Enter your old server's IMAP hostname and credentials
- Map old accounts to new Google Workspace accounts
- Start migration — this can take 24–48 hours for large mailboxes
Step 4: Switch MX Records
Only after migration is complete, update your MX records to point to Google:
Priority 1: ASPMX.L.GOOGLE.COM
Priority 5: ALT1.ASPMX.L.GOOGLE.COM
Priority 5: ALT2.ASPMX.L.GOOGLE.COM
Priority 10: ALT3.ASPMX.L.GOOGLE.COM
Priority 10: ALT4.ASPMX.L.GOOGLE.COM
Step 5: Update SPF, DKIM & DMARC
Update your SPF record to v=spf1 include:_spf.google.com ~all. Enable DKIM in Google Admin Console. Update DMARC to reflect your new setup.
Step 6: Verify and Monitor
Send test emails from external accounts. Check deliverability at mail-tester.com. Monitor the old server for 48 hours to catch any late-arriving mail that was in transit during the switch.
